Admission Officer at Trinity Episcopal School

Job Summary
Trinity Episcopal School, a coed, independent day school in New Orleans, seeks an Admission Officer. This individual will serve as a full-time member of the Admission Team and assist the Director of Enrollment Management in the School’s efforts to successfully recruit and re-recruit students and families at both Trinity’s Early Childhood program (Les Enfants -- ages 15 months+) and PK-8 independent day school program.

The Admission Officer reports directly to the Director of Enrollment Management. Work hours are structured according to the school day, with arrival expected by 7:45 a.m. and departure following afternoon carpool at 4:00 p.m. Attendance at special events beyond work hours is generally expected. A few weekend assignments may also be scheduled. Work hours during school holiday breaks and during the summer are 9:00 a.m. to 3:00 p.m., but subject to adjustment with prior approval of the Assistant Head of School and/or Head of School.

- Ability to communicate effectively with a diverse population of current and prospective students and families

Essential Duties and Responsibilities
- Respond to telephone and email inquiries.
- Schedule tours of campus, official visits, and meetings for Director of Enrollment Management
- Keep shared admission calendar up to date and accurate.
- Assist in providing tours of campus to prospective students and families.
- Conduct parent interviews and record appropriate interview notes.
- Coordinate and arrange student visits.
- Assist in communication with prospective parents about application requirements/completion.
- Coordinate volunteers for admission open houses.
- Work closely with the Registrar to maintain re-enrollment and new enrollment contract/advance deposit reports for admission and billing offices.
- Maintain admission funnel; track statistics related to visits, applications, etc.; maintain and produce reports.
- Manage online application system, process all incoming applications and materials. Process candidates once they have enrolled.
- Prepare, maintain, and update admission files for prospective students.
- Communicate with prospective parents regarding the status of the application file(s).
- Work closely with the Business Office to assist in the preparation of tuition assistance files, and in the preparation, distribution, and collection of tuition assistance letters.
- Prepare admission information folders for prospective families.
- Oversee the preparation and mailing of all admission-related packets, including acceptance letters, and summer mailings.
- Coordinate and organize new family/student receptions and events.
- Exude a welcoming presence to all those who enter the Admission Office
-Greet all applicant families
- Assist in managing the wait pool.
- Work closely with the Director of Marketing and assist in all admission related marketing efforts.
- Assist in the revision of admission publications.
- Assist in ordering and preparing new student and referral gifts.
- Assist in planning and executing various open house and playdate events during the school year.
- Keep informed about curricular and co-curricular activities.
- Represent Trinity Episcopal School at school fairs.
- Maintain a close working relationship with feeder schools.
- Support Trinity and its leadership.
- Perform other duties as assigned by the Assistant Head of School or Head of School.  
Qualification Requirements  
- Bachelor’s degree in a related field such as marketing or education preferred.
- Discretion and ability to maintain strict confidentiality.
- Knowledge of Blackbaud products, particularly Enrollment Management, a plus.
- Advanced Microsoft Office skills.
- Ability to meet deadlines.
- Attention to detail.
- Ability to manage multiple projects.
- Excellent record keeping skills.
- Excellent communication skills.
- Ability to work collaboratively with other school personnel
- Knowledge of the school community and/or New Orleans community and/or a willingness to obtain this knowledge
